Create a New Outlook 2010 with Exchange Profile
This "How To" describes the addition or recreation of an Outlook 2010 with Exchange profile. This "profile" is the collection of settings that connect your computer to the Exchange server. You may perform these steps if you are experiencing problems with an existing Exchange profile. The creation of a new profile provides a "fresh start" opportunity that can help solve nagging problems.
Please exit from Outlook before beginning this process. You must be online. If needed, you must also have a VPN connection.
Create a new Outlook 2010 Profile
- Exit Outlook.
- Click Start, then Control Panel.

Windows 7: If Control Panel is in Category view, click the Category on the right and choose Small Icons. Then click the Mail control panel. If the Control Panel was already in "icon" view, click the Mail control panel.
Windows XP: If Control Panel is in Category view, click the Switch to Classic View link on the left and then double-click the Mail control panel. When the Control Panel is in Classic view, double-click the Mail control panel. - In the Mail Setup - Outlook dialog box, click the Show Profiles button.
- On the General tab, click Add.
- In the Profile Name box, type a name (ex: Default Outlook Profile) for the new profile, and then click OK.
- Place a check in the Manually configure server settings or additional server types check box.
- Click Next.
- Select Microsoft Exchange or compatible service. Click Next.
- In the Microsoft Exchange Server address enter the name of your exchange server or its IP address
- Use Cached Exchange Mode should be checked! If it is not, please check it.
- In the User Name box, enter your UserID. Ex. jws334
- Click the Check Name button
Note: The UserID should become your name (underlined). If the name still can't be found, contact Computer Support for help. - Click Next. Click Finish.
- Be sure that the Always use this profile radio button is selected.
Note: If you are performing these steps to create a "new" profile because you are having problems with an "old" profile, you will not remove the original profile as yet. - From the drop-down list, choose the new profile that you just created.
- Click OK.
- You are now ready to open the new profile... Open Outlook normally.
- You should see the following message (if you don't contact Computer Support) Preparing Outlook for first use Retrieving mailbox settings ...
- Outlook should then open (In the lower right you will now see word Connected to Microsoft Exchange)
At this point you are done. But Outlook is also downloaded a copy of your mail from the Exchange server. You will see it "Updating ..." folders in the lower right. You should allow this process to complete. You may stop it. But then you won't have access to all your mail if you then Work Offline.
Follow-up: After 1 - 2 weeks, you can reopen the Mail control panel, click the Show Profiles button. On the General tab, select the original Profile and click Remove.
Remove an Old Profile
If you are performed the above steps to create a "new" profile because you were having problems with an "old" profile, after 1 - 2 weeks, you can remove the original Profile.
- Click Start, then Control Panel.
- Double-click the Mail control panel.
- In the Mail Setup - Outlook dialog box, click the Show Profiles button.
- On the General tab, select the original Profile and click Remove.
- Click OK.
