The following steps contain everything you need to help you to set up and use the Email option in Sage 50 Accounts 2014 (v20) and below. If you're using a later version of Sage 50 Accounts, please refer to the Steps tab.


The modules that contain the Email option


The Email option is available in the following areas of Sage 50 Accounts:

  • Customers > Links pane > Quotations List.
  • Customers > Links pane > Invoice List.
  • Customers > Links pane > Sales Order List.
  • Suppliers > Links pane > Purchase Order List.

You can also send emails from other areas of the software by running reports and layouts to email. For further information about this, please refer to article 12659.




Setting the default email layouts


  1. Settings menu > Invoice & Order Defaults > Email tab.
  2. To the right of the required layout type, for example, Invoices, click Browse.
  3. Select the layout that you want to use by default when sending emails > OK.

    Note: Once you select a layout and click OK, you can't delete the layout name from the Invoice and Order Defaults window. If you would like to select a different layout, repeat steps 2 and 3.
  4. Repeat steps 2 and 3 for each required layout type > OK.




To email an invoice, quotation or order


  1. Open the required module, for example, Customers > Links pane > Invoice List.
  2. Select the invoices, quotations or orders that you want to email > click Email.

    Note: Within Customers > Quotations List, you can only email multiple quotations if they are the same type, that is, all invoice quotations or all sales order quotations. You can't email a mixture of invoice and sales order quotations together.




The Emailed column


Within each of the modules that contain the Email option, there is also an Emailed column. If you send an invoice, quotation or order using the Email option, a Yes appears in this column against the invoice, quotation or order. This means you can see at a glance what has been sent by email.

Note: If you send an invoice, quotation or order by email from the Report Browser window, the Emailed column doesn't update.
